Terms & conditions

At The Potters’ Roost we are passionate about our community. We want The Roost to be a warm, welcoming, and safe environment. As such, there are some conditions to attending the studio. These are outlined below.

membership agreement

Studio attendees who opt for a membership are agreeing to the following terms:

Membership type and inclusions

  • The details of your membership (for example, access hours, inclusions, and pricing) are set out in our membership description on our website.

  • Membership is personal to you and cannot be shared, transferred, sold, or assigned to another person without our prior written consent.

  • Membership gives you access to the studio facilities, equipment and services only during the hours and on the conditions we set, including any booking systems, studio rules, health and safety requirements and kiln/firing policies.

Term, renewal and changes

Unless specified otherwise, memberships are:

  • Fixed term for a set period of 1, 3, 6, or 12 months.

We may reasonably update our membership terms, pricing, or studio rules from time to time. Any changes will be published on our website or emailed to you, and will apply from the date stated in the notice, subject to your rights under New Zealand law including the Consumer Guarantees Act 1993.

Fees, payment and GST

Membership fees are payable in advance and:

  • Will be invoiced as soon as possible on receipt of your membership application, or

  • Will be invoiced at least 7 days before the expiry of your current membership

  • The invoice will be for the same period previously purchased unless you advise that you want a different membership period (see 3.1 above)

All prices are in New Zealand dollars (NZD) and include GST unless we state otherwise.

If you fail to pay membership fees when due, we may suspend your access to the studio.

Refunds and New Zealand consumer law

Should you need to cancel your membership, we will refund any full months remaining for your membership. For example, if your membership is effective 1 January to 31 December 2026 and you advise you wish cancel on 9 March. We will not refund March but will refund 1 April to 31 December. One-month memberships are non-refundable.

Nothing in this Agreement limits or excludes your rights under the Consumer Guarantees Act 1993 (CGA) or the Fair Trading Act 1986. If our services fail to meet the guarantees under the CGA, you may be entitled to a repair, re‑supply, price reduction, or refund, depending on the nature of the problem.

If we decide (in our discretion) to issue a refund in circumstances where we are not legally required to, we may set reasonable conditions, including how and when the refund or credit is provided.

Membership on hold (suspension)

You may ask us to place your membership on hold (suspend it) for reasons such as illness, injury, travel or other temporary circumstances.

Hold requests must:

  • Be made in writing (for example, by email)

  • Include the reason and requested dates; and

  • Be submitted at least  days before the hold start date, unless there is an emergency.

NOTE: We do not offer a hold on the one-month membership option

We may approve or decline a hold request at our reasonable discretion and may:

  • Limit holds to a maximum of  weeks per calendar year;

  • Require a minimum hold period of 2 weeks; and

While your membership is on hold:

  • You will not have access to the studio or member benefits; and

  • While your membership is paused, we will not issue invoices.

  • 7 days before the end of the paused period, we will advise you that your membership is due to recommence.

Expiry, cancellation and notice

Member cancellation

  • Your membership will end automatically at the end of the fixed term, unless renewed. If you choose to end a fixed-term membership early, see our refund policy above.

  • To cancel, you must email us at admin@pottersroost.co.nz .

Studio cancellation and expiry

We may cancel your membership immediately if:

  • You breach this Agreement or studio rules and do not fix the breach when asked;

  • You engage in behaviour that is unsafe, abusive, or disruptive to the studio, other members, staff or neighbours; or

  • You misuse or damage studio property.

We may also cancel the membership of any member whose skill level, safety practices or conduct we reasonably consider incompatible with unsupervised studio use, after taking reasonable steps to address any concerns.

If we permanently close the studio or significantly reduce services, we will act fairly towards members, including offering reasonable refunds or credits where appropriate and required by law

On cancellation or expiry of your membership, you must:

  • Return any equipment; and

  • Remove your personal belongings from the studio within 14 days.

Studio rules, safety and conduct

You must follow all posted studio rules, health and safety instructions, the contents on your Induction Agreement, and any reasonable directions from our staff. This includes rules about:

  • Use of kilns, wheels and other equipment;

  • Use of glazes, clay and materials;

  • Housekeeping (cleaning your area, recycling, waste); and

  • Maximum storage of one cubby and half a shelf space for your work.

You must only use equipment you are competent and authorised to use. If you are unsure how to use any equipment safely, you must ask for guidance and not use it until you are confident.

You are responsible for:

  • Working in a safe and considerate way;

  • Not interfering with other members’ work or property; and

  • Not bringing children or visitors into the studio unless permitted by our rules.

We may temporarily restrict access to parts of the studio (for example, during maintenance, classes, events, or kiln firings) as reasonably required.

Kiln firings, clay and glazes

Firing services, clay, glazes and other materials are:

  • Subject to separate fees

  • Clay is sold per kilo, and this includes cost of the clay, use of glazes and two firings.

  • Only items made from Potters’ Roost clay will be fired, unless by prior agreement arrangements. In which, case a separate firing fee will be charged.

We may decline to fire work that we reasonably believe is unsafe, unsuitable for our kilns, or breaches our materials policy.

We take reasonable care of your work but cannot guarantee that all pieces will survive drying, firing or glazing, and normal breakage or kiln outcomes are part of the creative process.

You must label your work and store it only in designated areas. We may dispose of unlabeled work or items stored beyond the timeframes set out in our studio rules.

Personal property and liability

You bring personal items, tools and work into the studio at your own risk. We are not responsible for loss, theft or damage to your personal property, except where required by law.

We are responsible for providing our services with reasonable care and skill and in accordance with New Zealand law, including the Consumer Guarantees Act 1993, and we will act reasonably to remedy any issues with our services.

To the fullest extent permitted by law, we are not liable for indirect or consequential loss (such as lost profits or income), and any liability we do have is limited to the amount you have paid us for the relevant membership period, unless the law does not allow this limitation.

Contact details and communication

You must keep your contact details up to date and let us know promptly if you change your email address, phone number, or emergency contact details.

We may contact you using the details you provide for operational matters, membership information, studio updates and changes to these terms.

Notices under this Agreement may be given by email, in person, or by publishing changes on our website or member portal, where appropriate.

General

If any part of this Agreement is found to be invalid or unenforceable, the remaining parts will continue to apply.

This Agreement is governed by the laws of New Zealand. Any disputes may be brought in the New Zealand courts or tribunals that have jurisdiction, such as the Disputes Tribunal for suitable amounts.

This Agreement, together with your signed Induction Agreement and our published studio rules, forms the entire agreement between us and you in relation to your membership.

Private Parties & bookings

Booking and Payment

A 30% deposit is required to secure your booking. This deposit is payable upon acceptance of your quote. Bookings are not confirmed until the deposit has been received. The remaining balance is due 5 days before your session – payable of receipt of the invoice.

Session Details

Private sessions run for 2 hours. Please arrive on time to ensure you receive the full experience.

What’s Included

All sessions include:

  • Clay for your selected project

  • Use of tools and equipment

  • Glazing of your finished pieces

  • Kiln firing

Class Options

You may choose from the following project types for your group:

  • Tea light holders

  • Mugs

  • Pinch pots

If you have a specific request outside of these options, please advise at the time of accepting the quote so we can discuss this with you in advance and ensure we can meet your expectations.

Hen Parties and Baby Showers

Bookings for hen parties and baby showers include a commemorative plate. All participants will have the opportunity to contribute to this piece as a keepsake of your event.

Firing and Collection

All items will be glazed and fired after your session. Due to the drying and firing process, please allow approximately 3 weeks for completion. You will be notified by email when your items are ready for collection.

Cancellations and Changes

Please provide as much notice as possible if you need to cancel or reschedule. Deposits may be non-refundable depending on the timing of the cancellation. See our Cancellation and Refund policy.

Private Parties and Bookings

Note: Deposits paid for Private Parties or Bookings made during the Christmas period (1 Nov to 24 Dec) will not be refunded. If the full invoice has been paid and cancellation is necessary, 50% of the final invoiced amount will be refunded provided the cancellation request is received 7 days prior to the date of the booking.

For all other Private Parties and Booking, 50% of the deposit paid will be refunded provided the request to cancel is received by email to admin@pottersroost.co.nz before the full invoice is due for payment.

health & Safety

Health & Safety

  • Silica Safety: No dry sanding of bone dry or bisque ware. No sweeping. All cleaning must be done with a wet sponge or mop to keep the air safe for everyone.

  • Clay Traps: All tools and hands must be pre-rinsed and clay water be added to the designated settling bucket—never the standard plumbing.

  • Kiln Room: Only authorized staff are permitted to load, unload, or operate the kilns.

  • Emergency equipment: Fire extinguisher and first aid located in kitchen. Fire extinguisher and fire blanket in the kiln room. Nearest AED (Defibulator) located next door at The Art of Dentistry - business hours only. Or St. Josephs School, 1 Pine Ave, outside wall of school office - 24-hour access. 

  • Access: Ensure all the halls and doorways are always kept clear.

  • Shelves: Respect the work of others. Never touch or move someone else’s work without staff supervision
